This position will supervise the company's receptionist.
Work will be performed under the supervision of the Vice President of Corporate Strategy.
Job Duties General office space, equipment, supplies, and inventory:
Manages the front office area to ensure effective communications both internally and externally to maintain professional image.
Oversee and monitor the use of supplies and equipment; maintain adequate inventory of office supplies.
Lead oversight of office equipment, such as postage machines, key cards, security alarms, etc.
Manage office maintenance issues and guide receptionist to follow through on maintenance issue resolution as needed.
Maintain the overall appearance of the office; workspace/office assignment and layout as needed.
Responsible for the upkeep of the office's Standard Operating Procedures (SOP) booklet.
Responsible for tracking and forecasting quarterly office expense report.
Responsible for tracking office supply inventory and follow ups.
Responsible for conducting monthly General Office Checklist and follow ups.
Supervise and assign responsibility to staff to ensure overall day-to-day office services and activities are carried out as needed.
Responsible for Front desk coverage, in the absence of receptionist, to coordinate all Front desk services to ensure office effectiveness and efficiencies during normal business hours.
Assure requested announcements and information to be communicated to internal and external customers are followed through.
Records System:
Responsible for creating and maintaining a file system for each office related vendor.
Manage company storage & warehouse.
Vendor Relations:
Primary Liaison with vendors i.
e.
property manager/landlord, contractors, car service, etc.
as needed.
Negotiate purchase of office supplies/furniture, etc.
Align with company purchasing policies and budgetary restricts; Assure to follow through on vendor contract/agreement as needed.
Security and Safety:
Responsible for distributing building/office access keys and security access cards, and related.
Ensure procedures and policies for visitors are in place and carried out by all.
Coordinate the repair and maintenance of Security and Safety issues as needed.
Assist Program and communication activities including but not limited to meeting set-up and follow-up as needed.
Assist with Monthly Expense Report; Travel Arrangements; Oversee corporate events and travels and provide status report to Manager as needed.
Oversee office remodeling projects and provide status report.
Provide assistance to Manager as needed.
Keep Manager informed by reviewing, analyzing, identifying trends/areas of improvement and summarizing findings and recommendation of efficiency initiatives for consideration.
Other Duties include:
Participate and perform in special projects as needed.
Excellent phone etiquette and communication skills Strong organizational and time management abilities Proficient in using office software such as Microsoft Office Suite Ability to multitask and prioritize tasks effectively Experience in team management or leadership roles is preferred Knowledge of medical office procedures is a plus This position requires a detail-oriented individual with excellent communication skills.
The Office Manager will be responsible for overseeing the front desk operations, managing phone systems, coordinating calendars, and providing training to office staff.
The successful candidate should have strong organizational skills, the ability to multitask, and experience in team management.
Medical office management experience is preferred but not required.
